What happens to the information you send us, why we hold it, and how to ask us to delete it.

Who This Policy Covers

This policy applies to conesleeves.co.uk and to enquiries sent to us by form, email, telephone or WhatsApp.

Data controller details pendingThe controller trades from the address published in the footer, but the registered company name, company number and registered office have not been supplied for this site. They must be added before launch — a privacy policy that does not name the controlling legal entity is incomplete. Nothing has been invented in their place.

What We Collect

We collect only what you choose to send us. Through the enquiry forms that is:

  • Your name.
  • Your email address.
  • Your telephone number, if you provide one.
  • Your business name, if you provide one.
  • The product, quantity and any message or specification you describe.
  • Any artwork file you attach.

Our web server also records the IP address a submission came from, for the short period needed to apply a rate limit that keeps automated spam off the form.

If you open the chat window, whatever you type into it — and any name or email you give there — reaches us through Zendesk. Treat it as you would an email: it is a good place to ask a question, and not the place to send anything confidential.

Why We Hold It

To answer your enquiry, produce a quotation, and — if you place an order — to fulfil it. The lawful basis is our legitimate interest in responding to a business enquiry you have initiated, and, once an order is placed, performance of a contract with you.

We do not use enquiry details for marketing unless you separately ask us to, and we do not sell or share them with third parties for their own purposes.

How Long We Keep It

Enquiries that do not lead to an order are kept while there is a realistic prospect of the conversation continuing, and are deleted after that. Records relating to an actual order are kept for as long as we are required to retain business and tax records. Artwork files are kept while your job is live and while a reorder from the same die is plausible.

Who Processes It

Your enquiry is delivered to us by an email service provider and is stored in our email system. The website is hosted by a hosting provider that processes requests to it. These providers act on our instructions.

Live chat is provided by Zendesk, which processes chat messages on our behalf and holds them in its own systems under its own terms.

Processor names pendingThe specific hosting, email and any customer-management providers used for the live site should be named here before launch, so this policy describes the actual arrangement rather than a generic one.

Cookies and Analytics

This site loads no analytics or advertising scripts. The live chat window does set cookies, which our cookie policy describes. If analytics is enabled later, that page will describe exactly what it sets, and a consent mechanism will be added first.

WhatsApp

The WhatsApp buttons on this site open WhatsApp with a message addressed to us. Once you send it, the conversation is handled inside WhatsApp and is also subject to WhatsApp's own privacy terms, which we do not control.

Your Rights

Under UK data protection law you can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, or object to our processing of it. Write to info@conesleeves.co.uk and we will respond within one month.

If you are not satisfied with our response, you can complain to the Information Commissioner's Office, the UK supervisory authority for data protection.

Changes

If this policy changes we will update the date at the top of this page. Material changes affecting how we handle existing enquiries will be notified directly to anyone affected.
